How Co-Managed IT Works

Co-managed IT only works when the split of responsibilities is deliberate. Here's exactly how we scope an engagement with your internal IT team, from the first consultation to ongoing management.

Step 1: The scoping consultation

Every engagement starts with an audit where we review your current IT environment and your internal team's existing coverage. This isn't a sales pitch - it's a genuine assessment of where the gaps are, what's already working well internally, and what a business of your size and structure actually needs.

We look at team size, current helpdesk and network workload, whether proper RMM and EDR tooling is in place, backup and disaster recovery readiness, Microsoft 365 security configuration, and any compliance requirements coming from head office or clients.

Step 2: Defining the division of responsibilities

The managed service provider and the internal IT team jointly define scope during onboarding - typically the internal team retains day-to-day user support and business context, while the provider takes on the specific gaps identified during the audit: Level 1 helpdesk or network and server management (whichever the internal team doesn't already cover), RMM and EDR deployment, backup and disaster recovery, or Microsoft 365 security uplift.

This split is written down, not assumed. Both sides know exactly which tickets, which systems, and which responsibilities belong to whom. Support runs Monday to Friday, 9:00 AM to 5:30 PM SGT, with escalation paths documented so that when something falls near the boundary, there's no ambiguity about who acts.

Step 3: Onboarding and handover

Once scope is agreed, we onboard into the specific systems and tools relevant to our part of the arrangement - helpdesk ticketing, RMM and EDR agents, backup platforms, or your Microsoft 365 tenant, depending on what was scoped. Your internal team's existing tools and processes are respected wherever practical; we rarely require a wholesale platform change.

Documentation is built during this stage too: escalation contacts, a record of what's covered by whom, and (where relevant) disaster recovery runbooks.

Step 4: Ongoing management and review

Once live, the arrangement runs on the agreed cadence - continuous monitoring where scoped, regular reporting, and scheduled reviews of the split itself. Many businesses start with a single gap, such as backup and disaster recovery or Microsoft 365 security, and expand scope over time as internal priorities shift.

Yes - many businesses start with co-managed IT for specific gaps (like security or backup) and expand the scope over time, or transition to a fully managed model as their internal team's priorities shift.
